Key responsibilities:
- Serve as the first point of contact for the Sales Department and assist the Customers, Account Executives and the Sales & Marketing Manager in ensuring the correct data is inputted and product is produced.
- Receives orders from Customers and Account Executives. Reviews orders for content. Once all information is obtained / complete, place orders into Syteline ERP.
- Troubleshoot and make suggestions and creative recommendations to assist in the process and systems development regarding order flow.
- Prepare and submit quotations to customers based on approval from the Account Executive or Sales & Marketing Manager.
- Communicate with production team on current status of customer requirements.
- Communicate directly with current customers on a regular basis current orders.
- Responsible for tracking orders to ensure that they have been shipped as per customer’s requirements and / or informs customers of delayed shipments.
- Solve customer complaints and problems that are routine in nature, and refer more complex concerns to the Account Executive.
- Notify the Quality Assurance department of complaints or deviations, and enter ‘Non-Conformances’ into the Syteline ERP as required.
- Assist in contacting customers regarding queries with invoices, and forward information to the Accounting department.
- Attend and participate in Sales/Production meetings as required.
- Follow a professional process with all customers.
- Perform other duties/special projects as assigned.
- Make sure orders submitted to the Production department are free from error and allow adequate time for on-time delivery of the finished product.
- The customer data is regularly reviewed and kept up to date.
- All activities of the department are performed on-time and in a satisfactory manner.
- Maintain a cooperative working relationship with other departments.
- Order flow and processes are continually improved.
- Customer specific requirements are clearly understood and communicated to the Production department so that products meet all customer requirements.
- Take all reasonable action to carry out the responsibilities of the position, while consistent with company polices and sound business judgement.
