Primary Responsibilities

To administratively support the members of the Business Team through:

  • Managing all accounting activities relating to accounts receivable, accounts payable
  • Assistance with Payroll
  • Receiving and ordering parts and stock
  • Processing warranty claims with supplies
  • Processing counter sales and payments
  • Ensure the collection of money is occurring at the point of service or proper paperwork for financing is being signed at the point of service.
  • Collecting and archiving key performance data such as number of calls run, number of leads run, average sale amounts, closing ratios, client renewal percentages, etc. Produce statistical data for key managers.
  • Answering the phone as seasonal demands require.
  • Managing the company assets such as vehicles, information systems, and communication systems
  • Billing research and problem resolution
  • Complete contract documents as needed
  • Daily client interaction and liaison
  • General administration (filing, circulating documents, mailings, courier etc.)
  • Dispatch and schedule technicians when required
  • Special projects and reports as required.

Education/Experience/Skills

The ideal candidate will have:

  • A Secondary School Diploma
  • A minimum of 2 to 3 years experience in an administrative function, preferably in support of a finance or accounting field.
  • An extreme proficiency in MS Office (Word, Excel)
  • Prior experience in HVAC (assist)
  • Effective time management, organizational abilities
  • A professional attitude illustrated through superior verbal and written communications skills coupled with demonstrated customer service skills.
  • Demonstration of sound decision making skills and professionalism in dealing with sensitive information, necessitating use of discretion, tact and good judgment. Must be able to work independently, have analytical and problem solving skills, and superior interpersonal and communication skills, both verbal and written.
  • Strong organizational skills, the ability to establish priorities with attention to detail, and work without direct supervision in a small office environment.
