What can I expect to do in this role?
- provide front-line customer service to internal and external clients and receive incoming calls and respond to general enquiries
- provide clerical and administrative support such as receiving and distributing incoming mail, minute taking, data entry and time keeping
- provide financial program support by assisting with budget tracking, purchase statements, receipts and entries into a financial computer system
- assist in the preparation of staff hiring documentation( e.g. new hires, extensions, terminations)
- provide a wide range of service and support functions to staff on policies and procedures (e.g. purchasing, travel claims, overtime)
How do I qualify?
Administrative skills:
- You have knowledge of general office procedures and practices including, travel claims, tracking invoices and purchase orders.
- You can perform a wide range of clerical duties, including mail and courier services, arranging accommodations, booking audio visual equipment, ordering office supplies and performing reception duties.
- You have experience using office equipment (e.g. fax machines, photocopiers) and filing systems.
- You have experience in the preparation of staff hiring documentation( e.g. new hires, extensions, terminations).
Customer Service and Communication Skills:
- You have good customer service skills to provide courteous and friendly service to internal staff and external clients.
- You have communication and interpersonal skills to answer routine and general enquiries and provide support services to staff on policies and procedures (e.g. purchasing, travel claims, overtime).
- You have well developed communication skills to answer routine and general enquiries.
Organization and Time Management Skills:
- You have organization and time management skills to set priorities when performing a variety of different tasks.
- You have the ability to work independently using initiative and judgment to ensure documents meet essential requirements.
Computer skills:
- You are proficient with computer operations and applications (e.g. word processing, spreadsheet, database, e-mail, Internet, and financial computer software applications) to produce correspondence, create mailing lists, enter data, and train staff.
