Position Summary
The Logistics Coordinator verifies and keeps records of incoming and outgoing shipments, packaging and prepares products for shipment. The incumbent schedules freight for inbound and outbound shipments, having direct contact with customers for freight notification and coordination. The Logistics Coordinator participates in information collection, tracking and entry to support production, sales and accounting. This role also supports our outside sales for poles, lumber and rail ties.
Responsibilities:
- Manage incoming/outgoing trucks and rail cars as required; this includes couriers, visitors, contractor’s parts/supplies deliveries, etc.
- Schedule trucks and verify inbound and outbound shipments to facilitate accurate inventory and bill of lading.
- Make orders and routes railcars to customer destinations.
- Generate daily outbound report to each salesman that has railcars heading to customers.
- Schedule, order, and release rail shipments.
- Coordinate with various self-unloaders when flatbed/railcars are arriving at destination.
- Enter shipments in BlueBee system and pole database, generating all required paperwork for shipments (bill of lading, customs papers, etc.). Forward paperwork as required to all appropriate individuals, internal and external
- Prepare stock transfers to other Stella-Jones facilities.
- Accept and add freight provision on stock transfers from other plants and prepaid customer orders.
- Once a day, walk around the yard to verify railcar numbers and missing car sets to avoid demurrage charges.
- Manage and record associated freight charges.
- Manage all CN and CP invoices for associated orders.
Inventory Management
- Ensure inventory to warehouse and stock transfers are accurate.
Production Coordination & Customer Service
- Order file tracking, drawing attention to orders that might fall late, as it relates to shipping constraints. Notifies plant manager and regional sales manager as required.
- Ensure all orders are prepared and shipped as customer requested, notifying the regional sales manager of that shipment event or if a delay is possible.
- Address all customer questions and requests related to deliveries and bills of lading.
Accounts Receivable and General Administration
- Dispute resolution and cost control.
- Attend and record key points and discussions during plant/safety meeting.
- Transcribe recordings into documents and minutes.
- Preparations, data entry and recall to assist management in sales and plant level situations.
- Assist in inventory management & product tracking.
- Organize plant/employee functions, community engagement and donations and various other activities.
- Performs other duties as assigned.
Qualifications & Core Competencies:
- Grade 12 or equivalent.
- Minimum of 3 years of related experience.
- Valid driver’s license and clean driver’s abstract.
- Effective interpersonal and communication skills.
- Attention to detail.
- Time and stress management.
- Knowledge of transportation requirements.
- Ability to work independently and be flexible regarding work assignments.
- Intermediate computer skills (Microsoft Office and BlueBee system).
- Basic math skills.
- Experience with SAP preferred
