Job Description
We are looking for a highly motivated, organized, dynamic and self-starting Administrative Assistant –Human Resources/Finance with a focus on delivering quality results. The successful candidate will play a primary role in helping stakeholders of the College, answering queries, organizing files, and documentation. Working directly with management, the incumbent will assist in policy writing and administrative work in compliance and relation to the Employment Standards Act 2000 (ESA – 2000), the Human Rights Code and other applicable legislation.
Administrative Assistant HR/Finance Responsibilities:
- Preparing reports, memos, letters, and other documents.
- Assisting with staff and faculty’s hiring and onboarding processes.
- Tracking incidents and reports and documenting accordingly.
- Monitoring emails, answering phones and routing calls to the correct department/person, or taking messages.
- Assisting and documenting throughout the interview process.
- Becoming familiar with college policies, processes, and expectations, and sharing these requirements with stakeholders as needed.
- Reviewing current college processes and recommending changes where necessary.
- Maintaining the active staff and faculty list by collaborating with the IT department.
- Tracking and informing employees regarding entitled leaves of absence in accordance with and compliance with the Employment Standards Act 2000.
- Collaborating with the Academics & Experiential Learning teams to determine best practices regarding the hiring and onboarding process of faculty.
- Assisting in the delivery of contractual expectations and requirements to staff and faculty as required.
- Assisting in performance-related discussions with staff and faculty.
- Collaborating with other staff members to review campus Occupational Health & Safety practices and provide recommendations in accordance with the Occupational Health & Safety Act (OHSA).
- Researching and conducting data to prepare documents for review and presentation for managers, directors, committees, and executives.
- Processing and documenting staff and faculty accommodation requests in accordance with the Employment Standards Act 2000, the Ontario Human Rights Code and other applicable legislation.
- Assisting in reconciliation of timesheets and invoices.
- Performing basic bookkeeping tasks: billing, processing payments, reconciling financial reports.
- Assisting in company activity/event planning.
- Monitoring inventories/supplies and placing orders if needed.
- Contacting external contractors and handling service orders.
- Reporting building/facility inefficiencies to the appropriate parties and assisting with the development of solutions.
Requirements:
- Strong organizational skills and attention to detail.
- In-depth understanding of entire MS Office suite.
- Undergraduate degree. (Human Resources Degree or related field – an asset)
- Experience in an educational setting – an asset.
- Ability to organize a daily workload by priorities.
- Must be able to meet deadlines in a fast-paced, quickly changing environment.
- A proactive approach to problem-solving with strong decision-making skills.
- Professional and advanced level of verbal and written communications skills including but not limited to email etiquette, reports, memos, announcements etc.
